Pay Rate: $26–$27/hour
Location: Onsite at a prestigious law firm
Key Responsibilities
Reception & Client Services
Greet all visitors, attorneys, and staff with professionalism, warmth, and efficiency.
Answer and direct calls using a multi-line phone system.
Manage guest registration and issue access cards via the building’s visitor management system.
Maintain a clean, organized, and professional front desk and lobby area.
Assist visitors with Wi-Fi, directions, transportation, and general inquiries.
Meeting & Conference Room Coordination
Prepare and manage meeting rooms, including AV setup, catering logistics, and room configurations.
Confirm daily meeting details in the reservation system and support real-time needs as they arise.
Liaise with internal departments and vendors to ensure flawless meeting execution.
Provide on-the-floor meeting support, ensuring organizers have all materials and assistance needed.
Hoteling & Workspace Management
Monitor and manage daily hoteling reservations.
Follow up on cancellations and no-shows to ensure efficient space utilization.
Assist staff with booking workspace and resolve any conflicts that arise.
Event & Catering Support
Place and track catering orders with attention to dietary restrictions, timing, and budget.
Set up and break down food/beverage services for meetings and events.
Coordinate event logistics including supplies, guest amenities, and setup needs.
Concierge-Level Support
Arrange car services, restaurant recommendations, and other amenities for clients and guests.
Support internal celebrations with thoughtful gestures (e.g., flowers, gifts).
Serve as a resource for office and neighborhood information.
Reporting & Communication
Maintain records of room usage, guest traffic, service requests, and vendor support.
Provide monthly reports on meeting space utilization and hospitality metrics.
Communicate regularly with building management, vendors, and internal stakeholders.
What We’re Looking For
5+ years in a receptionist, hospitality, or client-facing role (law firm or professional services preferred).
Exceptional communication and customer service skills.
Highly organized and proactive, with strong attention to detail.
Ability to remain calm, composed, and professional under pressure.
Tech-savvy: proficient in Microsoft Office and quick to learn new systems.
Friendly, polished, and approachable—you represent the first impression of the firm.
