Job Description

Title: Operations  and  Office Manager

Location: In-person, Monday–Friday (occasional remote Fridays)

Type: Full-time + Benefits + Performance-Based Bonuses

Position Overview:

We are seeking a highly organized, resourceful, and tech-savvy  Operations  and Office Manager to oversee the day-to-day administrative and operational functions of our office. This dynamic role is equal parts  accounts receivable/ payable,  office management,  executive support, and technology liaison. The ideal candidate is dependable, detail-oriented, and enthusiastic about building efficient systems  to support leadership and streamline internal operations.

Key Responsibilities:

Accounts Payable  and  Billing

  • Manage accounts payable  and expense tracking using QuickBooks
  • Oversee invoic ing , categorization, and  aging payable  reconciliation
  • Coordinate with  company  leadership and external accountants on monthly reports and  tax document s

Office and Administrative Operations

  • Serve as the point of contact for office needs, supplies, scheduling, and v endor coordination
  • Provide administrative support to company leadership, including calendar management, meeting prep, and occasional personal assistant tasks
  • Maintain and organize digital and physical files, shared drives, and company records
  • Organize virtual meetings on Zoom, Teams, etc.

Technology  and  Systems Support

  • Act as the internal liaison for all outsourced IT and cybersecurity provider s
  • Oversee onboarding and offboarding of employee technology accounts and email
  • Help improve internal systems through automation tools, templates, and process improvements (e.g., Excel/Word automation, Microsoft Office integrations, etc .
  • Support leadership in building and maintaining spreadsheets, trackers, dashboards, and document templates to organize data and improve decision-making

Internal Coordination

  • Support company leadership with internal communications, data management, and ad hoc project s
  • Assist with onboarding processes and document compliance for new hire s
  • Manage employee holiday and sick leave hours
  • Help foster a professional, organized, and efficient work environment

Qualifications:

  • Proficient in  QuickBooks and Microsoft Office Suite (especially Excel, Word, Outlook, Teams, etc.)
  • Experience managing billing, payables,  and/or financial tracking for a small business
  • Demonstrated ability to create and maintain spreadsheets, templates, and internal documents for operations support
  • Familiarity with workplace technology platforms, cloud-based systems, and office automation tools
  • Excellent organizational and time management skills
  • Strong interpersonal communication and discretion
  • Ability to handle sensitive information with professionalism and confidentiality

Preferred Attributes:

  • Prior experience in office management, executive support, or operations
  • Enthusiastic about enhancing  technology , reducing office clutter, and creating efficient workflows
