Executive Assistant with Administrative & HR Responsibilities

Job Summary

We are looking for an experienced Executive Assistant who will also play a pivotal role in supportingadministrative functions and assisting the HR department. The ideal candidate will be a proactive multitasker with exceptional organizational skills, attention to detail, and the ability to manage various tasks with efficiency and discretion.

Core Job Responsibilities & Duties

  • -------Executive Support:
    • Provide comprehensiveadministrative support to the executive team, including calendar management, travel arrangements, and meeting coordination
    • Handle sensitive information with confidentiality and professionalism
    • Prepare reports, presentations, and correspondence for internal and external communications
    • Assist in managing and prioritizing incoming requests and emails
  • Administrative Duties:
    • Oversee office operations, including maintaining supplies, managing vendors, and handling facilities-related tasks
    • Streamlineadministrative processes and implement improvements to increase efficiency
    • Collaborate with different departments to facilitate cross-functional communication and projects
  • Human Resources Support:
    • Assist in recruitment efforts by scheduling interviews, conducting initial screenings, and maintaining candidate databases
    • Coordinate onboarding activities for new hires, including paperwork, orientations, and training schedules
    • Support HR initiatives such as employee engagement programs, performance evaluations, and benefitsadministration
    • Maintain accurate and updated employee records and assist in HR-related compliance tasks
  • Project Coordination:
    • Support special projects or initiatives as assigned, providingadministrative and logistical assistance
    • Collaborate with team members to ensure project deadlines and objectives are met
Qualification Standards & Company Requirements

  • High school diploma or equivalent (required); bachelor’s degree in Hospitality Management or a related field (preferred)
  • Proven experience (3 years) as an executive assistant,administrative assistant, or in a similar role
  • Strong organizational and time-management skills with the ability to prioritize tasks
  • Excellent communication skills, both written and verbal
  • Proficient in MS Office Suite and other relevant software
  • Understanding of HR functions and basic knowledge of employment laws and regulations is a plus
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Detail-oriented with strong organizational and multitasking skills
  • Ability to work under pressure and adapt to changing situations
  • Proficient in hotel management systems, property management systems, and relevant software
  • Proficient in Microsoft Office and hotel & restaurant software(s)
  • Must have a flexible work schedule
