Job Description

Contract Administrator Specialist Needed in Oxnard

Industry: Construction

Pay Range: $25 - $30/hour

Purpose:

The Contract Administrator Specialist is responsible for supporting the administrative and contractual operations of construction projects. This entry-level role involves high-volume, transactional tasks and plays a vital role in contract lifecycle management, compliance, and document control within a fast-paced environment.

Essential Duties:

  • Assists with setting up projects, job binders, electronic file folders, this includes job setup and entries in "ComputerEase" software.
  • Assists in preparing and distributing Master Agreements and Master Trucking Agreements.
  • Assists in preparing, issuing, and managing contracts, subcontracts, purchase orders, work orders, trucking work authorizations, double encroachment permits, and bonds.
  • Assists in overseeing document flow using DocuSign and maintaining accurate tracking and filing of documents.
  • Assists in coordinating insurance requirements and processing preliminary notice information.
  • Assists in drafting, reviewing, and editing contractual documents for completeness, accuracy, and legal compliance.
  • Assists in acting as a liaison between our company. and customers, subcontractors, and vendors to clarify contract terms and ensure mutual understanding of contractual documents.
  • Assists in enrolling our company. and subcontractors in OCIP/CCIP/UCIP programs.

Knowledge, Skills, and Abilities:

  • Excellent attention to detail and a commitment to accuracy.
  • Ability to manage multiple projects and deadlines in a fast-paced setting.
  • Strong written and verbal communication skills for internal and external collaboration.
  • Familiarity with contract law and legal terminology preferred.
  • Proficiency in negotiation, interpretation, and drafting of contractual terms.
  • Proficient with ComputerEase, DocuSign, Adobe Acrobat Pro, and Microsoft Office Suite.
  • Ability to assess contract risks and propose appropriate mitigation strategies.
  • Demonstrated organizational and administrative support skills, including file maintenance and data entry.
  • Ability to work independently and as part of a team.

Education and Experience Requirements:

  • Bachelor's degree in Construction Management or a related field preferred.
  • Familiarity with the construction industry and administrative procedures highly desirable.
  • Entry-level experience with contract review or administration is a plus.

Physical Demands:

  • Standard office duties: ability to lift and move binders and documents occasionally.

Work Environment:

  • Office-based environment with interactions across project teams and vendors.
  • May involve occasional visits to job sites or interaction with field staff.
